Employee offboarding is the structured process that takes a person from the day their resignation or termination is accepted to the day their records, access and money are fully closed out. It covers notice and handover, asset return, access shut-off, the exit interview, final payment and the exit documents.
Most Indian companies run offboarding as a chain of hand-offs between four or five teams. It breaks down when nobody owns the whole chain, so decide up front that HR is the single owner and everyone else is a task assignee.
| Stage | What happens | Usual owner |
|---|---|---|
| Resignation accepted | Last working day fixed against the contractual notice period; any buyout or waiver agreed in writing | HR and manager |
| Handover | Work, client contacts and pending approvals passed to a named person | Manager |
| Access and assets | Laptop, ID card and keys returned; email, VPN and software access removed on the last day | IT and admin |
| Clearance | Department sign-offs on dues and recoveries, see no dues certificate | Each department |
| Settlement | Salary, leave encashment, gratuity and recoveries netted in the full and final settlement | Payroll and finance |
| Documents | Relieving letter, experience certificate, Form 16 later | HR |
The expensive failures are usually quiet ones: a laptop that is returned but a cloud login that stays live for months, or an employee whose date of exit is never marked on the EPFO portal, which later blocks their PF claim. Another common one is an offboarding checklist kept in an Excel sheet that nobody updates, so payroll processes one more month of salary for someone who left. Role-based access control tied to the HR system, so that an exit status triggers deprovisioning automatically, closes most of this gap. A good HRMS turns the stages above into tasks with owners and due dates.
Exits that are not a clean resignation need a different track. If an employee stops coming in without notice, the process is the one for absconding, and a shortfall in notice is handled through notice pay recovery. Senior or competitor-bound exits may also involve garden leave.
The working part runs across the notice period, with the last two or three days busiest. Under the Code on Wages, wages are payable within two working days of the exit taking effect, so the salary part of the settlement should be ready before the last day. The wider settlement, including recoveries and gratuity, is where companies still take longer, and the steps are laid out in our full and final settlement guide.
Someone from HR who is not in the employee’s reporting line. A direct manager in the room usually produces polite, useless answers.
No law prescribes an offboarding process as such. What the law does require are the pieces inside it, such as timely payment of wages and dues, and any service certificate your standing orders or contract promise.
The steps are the same, but the notice, recoveries and documents follow the terms in the offer or confirmation paperwork, which are usually shorter during probation.
