Onboarding software automates a new hire’s paperwork, provisioning and induction tasks, document collection, e-signatures, IT access requests, task checklists, replacing ad hoc coordination across HR, IT and the hiring manager.
Onboarding software is a specialized, time-bound tool for the new-hire transition specifically, typically from offer acceptance through the first few months. A full HRMS is the broader system of record covering the whole employee lifecycle, payroll, benefits, performance, exits. Onboarding software is commonly one module of a larger HRMS, or a point tool that integrates into one, not a replacement for the system of record itself. Buyers sometimes conflate “an onboarding tool” with “our HR system,” worth being precise about which one a company actually needs.

Good implementations do, capturing PF and ESI enrollment details, PAN and identity documents, alongside the standard checklist items.
Many do, running it through a basic HRMS module or a checklist instead, dedicated tools tend to earn their cost at higher hiring volume.
