What is HR data integration?

HR software Updated October 2026

HR data integration is the automatic exchange of employee and payroll data between an HRMS and other systems such as attendance devices, the ATS, accounting software and banks. It removes double entry, but only works if one system owns each field and failures are monitored.

HR data integration is the automatic exchange of employee and payroll data between your HRMS and other systems, such as attendance devices, the ATS, accounting software, banks and the identity provider, so the same fact is not typed in twice. It is the plumbing that decides whether a multi-tool HR stack works or becomes a daily reconciliation chore.

The ways systems actually connect

  • API calls: one system asks another for data, or pushes data to it, in real time. Most modern cloud tools expose a REST API for this.
  • Webhooks: a system tells another the moment something happens, for example “employee hired”, so nobody has to keep polling.
  • Scheduled file transfer: a CSV or similar file dropped to a secure folder or SFTP location every night. Old-fashioned, but still common and perfectly workable.
  • Pre-built connectors or middleware: the vendor ships a ready connection to a named product, or a third-party integration platform sits in between.

In India, a good share of “integration” is file-based by nature. Salary payments go to the bank in a payment file in the format that bank specifies. The PF ECR is uploaded to the EPFO portal as a text file, and Form 24Q for TDS goes through validation before filing. A payroll journal usually flows to Tally or another accounting package as an export. Ask your vendor which of these are generated for you and which you assemble by hand.

What goes wrong

The technology is rarely the problem. The usual failures are: no single agreed employee ID that both systems use, so records fail to match; two systems both allowed to edit the same field, so the later sync overwrites the better data; and nobody owning the error log, so failed syncs sit unnoticed until payroll week. Decide which system is the master for each field, and name a person who reviews failures.

When you evaluate a product, ask for the API documentation before the demo, ask whether API access is included in your plan or priced separately, and ask for a test environment so you can try the connection before touching live salary data. Sign-in is a separate matter, handled by single sign-on, which controls who gets in but does not move employee data.

Frequently asked questions

Is integration the same as data migration?

No. Data migration is a one-time move of history into a new system. Integration is the ongoing exchange afterwards.

Do I need integrations if I buy an all-in-one suite?

Fewer, not none. You will still connect to your bank, accounting package and possibly attendance hardware, even if payroll and HR sit in one product.

What does a payroll integration usually carry?

Master data flows from HR to payroll, and attendance, leave and variable pay feed payroll inputs each cycle. See the benefits of integrating payroll with HR software for the day-to-day effect.

If payroll sits in a separate product, read about the payroll API and how to judge it.
