HR case management is software for handling sensitive, multi-step employee matters, such as a grievance, a disciplinary process or a workplace investigation, as a single confidential case file with an owner, a timeline and restricted access. It goes further than a HR helpdesk, which is built for routine queries that get closed in a reply or two.
A ticket answers “where is my payslip?” A case records “an employee has raised a complaint against a manager”. The second needs things a ticket system rarely gives you:
Treat sexual harassment complaints with extra care. The process under the POSH Act belongs to the Internal Committee, and confidentiality is a legal expectation there. If you log these in software at all, access should be limited to committee members, not general HR users or the system administrator’s default role.
Ask whether case access can be set per case, not just per module, using proper role-based permissions. Ask who at the vendor can see your data, and where it is hosted. Ask whether closed cases can be locked and later purged on a schedule that matches your retention policy. And ask whether the module exists at all: many Indian HRMS products offer only a helpdesk, and teams then run investigations on email and shared folders, which is exactly the scatter case management is meant to remove.
The usual implementation mistake is opening case access too widely at go-live and tightening it later. Start narrow.

No. The software tracks the steps, but notice periods, hearings and committee procedures still follow your policy and the relevant law, and the misconduct and domestic inquiry process has to be followed regardless of the tool.
Only the people who need it to do their part: the case owner, the decision maker and, where relevant, a legal adviser. Everyone else, including most of HR, should see nothing.
