Employee master data is the single, authoritative record of core facts about each employee, personal, job and pay-related, that every other module in an HR system references rather than keeping its own separate copy.
Typical fields span personal identifiers, name, date of birth, contact details, government ID numbers, job data, title, department, reporting manager, employment status, joining and exit dates, and pay-related structure like CTC components and bank details. It’s called the “single source of truth” because payroll, leave, performance and reporting modules are all meant to pull from this one record instead of maintaining conflicting copies of the same facts. When it drifts out of sync across systems, the consequences show up fast: duplicate employee records, mismatched job titles between systems, payroll errors from stale bank details, distorted headcount and attrition analytics, and integrations that break because a field format changed on one side but not the other.
No. Master data is the authoritative backend record. Self-service is a front-end view, usually of a limited subset, often with approval gates on sensitive fields like bank details.
Because data migration quality is only as good as the source data being migrated, dirty master data is a leading cause of failed or messy migrations.
Usually HR, though payroll, IT and sometimes finance all depend on it staying accurate and consistently updated.
See data migration for how this data moves when switching systems.
