Training cost per employee is the average amount spent on training and development per employee over a period, used to benchmark learning and development investment and feed into training ROI calculations.
Training Cost per Employee = Total Training Spend ÷ Number of Employees Trained
A fuller version splits this into direct costs, trainer fees, content, LMS licensing, materials, certifications, and indirect costs, mainly the employee’s own time away from work during onboarding or later upskilling, valued at their loaded hourly cost, plus any manager oversight time. Whether indirect time cost gets included is a real methodological choice organizations differ on, and it changes the resulting number substantially. An LMS costing ₹4,00,000 for 100 employees looks like ₹4,000 per employee on a direct-cost-only basis, but add 6 hours of training time per employee at a ₹700 loaded hourly rate, ₹4,200 per employee, and the fully-loaded figure roughly doubles to ₹8,200. There’s no reliable, current India-specific benchmark figure to compare against, older published numbers from a decade or more ago are too outdated to be useful, so track your own spend over time rather than chasing an external benchmark.
There’s no single right answer, but it’s important to be consistent and explicit about which version, direct-cost-only or fully-loaded, you’re reporting.
