Leave Accrual Calculator

Leave Accrual Calculator

Most employees have three separate leave categories accruing at different rates through the year, Casual, Sick, and Earned Leave, and mid-year, it’s rarely obvious what’s actually built up in each one. Here’s the pro-rated accrual across all three at once, useful for checking your own entitlement or for HR teams designing a policy.

How this differs from tracking your leave balance

This tool answers a different question than our Leave Balance Calculator. That one tracks a single leave type’s running balance against what you’ve already used. This one shows pro-rated accrual across all three common categories simultaneously, useful when you want the full picture at once, or when setting up policy numbers rather than tracking personal usage.

The calculation assumes straight-line monthly accrual (annual entitlement divided by 12, multiplied by months completed), which is standard for Earned Leave almost everywhere. Casual and Sick Leave are sometimes front-loaded at the start of the leave year instead of accruing monthly, check your own policy document for which method actually applies to you.

Frequently asked questions

Why do Casual and Earned Leave have different accrual patterns?

It’s purely a company policy choice, there’s no single statutory rule mandating one method over another for private-sector employees. Some companies simplify administration by front-loading smaller leave pools and only accruing the larger Earned Leave pool monthly.

Does unused leave always carry forward to the next year?

This depends on your leave policy, Casual Leave often lapses at year-end while Earned Leave typically carries forward up to a cap, sometimes with encashment allowed for the excess.

What happens to my accrual if I take a long unpaid leave?

Accrual is usually paused or reduced during extended unpaid leave, since it’s based on active service months, check your specific policy for exact treatment. Our guide to Casual Leave covers how that category specifically tends to be structured.

How do I check what I can actually cash out?

Once you know your accrued balance, our Leave Encashment Calculator works out the payout and tax treatment if you’re converting leave to cash.
